Who Owns OneStream After Go-Live? Staffing Your Admin Function

When you’re working towards go-live, what happens after is a thought that’s usually left on the back burner. The result is what we call a “post go-live slump.” Months after going live, there can sometimes be a regression or a tendency to fall back on old spreadsheet habits.

The slump is a result of go-live being treated as a finish line rather than a milestone—and the “after” becomes an afterthought.

There needs to be a plan after go-live. Whether it’s turning to our support team or staffing your admin function, having an idea of how you want to sustain your OneStream capabilities is better than no plan at all.

Structural Staffing Principals

To avoid the slump, we have a few structural staffing principals that we recommend that your team can optimize.

Separate Routing Support from Strategy

Do not assign day-to-day tasks (handling basic tickets, clearing errors, etc.) and strategic roadmap development to the same resource. These are different jobs that require different timelines and mindsets.

Appoint a Dedicated Enhancement Backlog Owner

Establish someone to be an explicit driver for the system’s “phase 2” roadmap. Without a specific platform owner accountable for the continuous delivery pipeline, new optimization initiatives lose momentum.

Continuous Health Cadences

Own a recurring calendar from proactive performance validation that includes scheduled patching, security matrix reviews, and infrastructure health checks. Don’t wait for a critical system bottleneck.

Timed Training References

Staffing the admin function includes continually empowering users. Schedule an explicit operational training check-in around 60 to 90 days after go-live. This ensures users learn real-world troubleshooting rather than hypothetical training beforehand.

Internal vs. Managed Services Support

Oftentimes, organizations have to choose between scaling an internal IT/Finance hybrid administrative team or relying on external assistance.

Internal Application Admins

Usually structured within the Corporate Finance, Accounting, or Financial Systems team to maintain tight alignment with reporting deadlines, closing procedures, and consolidations.

Co-Sourced Administration

For companies who don’t have the budget or capacity for comprehensive internal teams. HollandParker’s OneSupport services function as an extension of your internal team. Our managed services tier handles ongoing functional updates, technical maintenance, and workflow optimization. That way, internal finance executives can remain focused on the core business process.

OneStream Ownership on Your Terms

How you manage OneStream comes down to one thing: bandwidth. If your company can dedicate the time and resources to equipping your team with what they need to sustain the platform post go-live, that’s great. If you don’t, that’s fine too. That’s why we’re here.

At HollandParker, our team is more than willing to help your team master your OneStream capabilities, and keep those old habits from surfacing. Getting the support you need is as easy as scheduling a call with our team.
